The ideal candidate will support daily operations, ensure smooth communication within the team, and handle administrative tasks with efficiency and professionalism.Key Responsibilities: Communication & CoordinationAnswer incoming calls, record details, and direct inquiries to the appropriate department.Update the Development Director on important calls and messages.Manage correspondence related to external and industrial certification matters. External & Certification TasksHandle document submissions and certifications when necessary.Issue certificates upon verification of signed inspection reports.Coordinate with the finance department for invoice processing. Documentation & FilingMaintain client files, ensuring compliance with procedures.Keep records updated with the latest legislative and regulatory changes.Manage databases and ensure document traceability. Certification Committee SupportPrepare and distribute reports for committee meetings.Review and verify case files before submission.Record meeting minutes and ensure proper documentation. Proposal & Client RelationsDraft and send proposals upon approval.Follow up on proposal responses and update tracking records.Assist clients in completing necessary application forms. Administrative & Office SupportOversee the organization of the meeting room and office cleanliness.Provide administrative support to the Certification Committee and external audit teams.Arrange travel plans for the department.Forward relevant emails to inspectors and external partners.
