An international thinktank for sustainable development and climate change is seeking a Personal Assistant to join their growing team and set up a new office in Rome. In this role, you will be responsible for providing personal assistance to the Executive Director, managing office operations, handling HR functions, reporting to headquarters, and communicating with vendors in Italian and English.
Job Details:
TYPE: Permanent, full-time
WORKING HOURS: Monday to Friday, 9:00 - 17:00
SALARY: €30k - 40k level, depending on experience (negotiable)
LOCATION: Central Rome, Italy (On-site)
Main Responsibilities:
1. Providing personal assistance to the Executive Director
2. Handling day-to-day office operations, including coordinating office maintenance service providers, managing office supplies and equipment, and preparing documents
3. General assistance with HR functions, such as onboarding new employees and maintaining personnel records
4. Maintaining office policies and procedures, ensuring compliance and efficiency
5. Managing and handling confidential matters
6. Communicating in Italian, English, and Japanese with vendors
7. Arranging meetings and business trips
8. Managing office expenses
9. Regularly monitoring the progress of projects
10. Reporting and liaising with the headquarters in the USA and other offices
Ideal Candidate:
1. 2 years of PA/office management experience would be a bonus
2. Business-level proficiency in Italian, English, and Japanese is mandatory
3. Able to go on business trips
4. Excellent interpersonal and communication skills
5. Strong organisational and planning skills
6. Attention to detail and problem-solving skills
