RINA is currently recruiting for a Industry Project Administrator to join its office in Lecce (Italy) within the Consulting Planning, Monitoring & Business Support Division.
Mission
The role of an Industry Project Administrator focuses on ensuring the smooth running of all back-office functions, providing essential administrative and business support to various business unit teams. You will play an important role in organizing and maintaining documentation, supporting office management, and handling diverse administrative tasks to contribute to the overall efficiency of operations.
This position is a maternity leave cover contract.
Key Accountabilities
* Providing general support to visitors and assisting in the preparation of contracts and invoices.
* Managing documentation by developing and maintaining a filing system to register incoming and outgoing documents, sorting, checking, and distributing them effectively.
* Archiving documentation reports, letters, proposals, and formatting multiple PDF compositions.
* Formatting CVs as requested for specific tenders.
* Offering engineering support for internal requests such as phone numbers, conference calls, offers, contracts implementation in company IT tools, suppliers qualification, and purchase orders.
* Handling reception and office management at the local premises of RINA.
Education
High School Diploma/GED in Business Administration Finance Management
Qualifications
* Experience as an administrative assistant or office admin assistant would be advantageous.
* Proficiency in MS Office tools, particularly MS Excel, MS Word, MS PowerPoint, and Acrobat Reader.
* Organizational skills with the ability to multitask efficiently.
* Excellent time management skills and the capability to prioritize tasks effectively.
* Capacity to follow established systems and procedures diligently.
* Fluent in Italian and a good level of English.
