Business Support - Executive Assistant • Arese, Italy Overview The Sr. Specialist, Business Support is responsible for a wide range of activities and is based in Arese, Milano. This role acts as an Executive Assistant to the General Manager, providing support in managing the GM's agenda and ensuring coordination and logistics support to the GM. It also involves managing HR and General Manager budgets, organizing local and international events, and supporting internal communication and engagement initiatives. The role partners with the HR team for training plans, and is the local superuser of Concur (booking and expense reports). Responsibilities: Supporting Leadership: Assist the GM with agenda bookings and logistics. Budget Management and Monitoring: Track expenses, serve as the first point of contact for HR/GM new vendors, and verify invoices with the Shared Service Center in the UK. Company Associations: Handle enrollment, maintenance, and renewals of company associations. Event Organization: Organize local company events and international visits. HR Support: Support the HR team in training plans administration, acting as a key contact for external partners on purchase orders and invoices. Expense Management: Manage GM expense notes, serve as the superuser of Concur for the Italian site, and train new employees. Credit Card Management: Act as the first point of contact for credit card requests and assist with issues. Internal Communication: Plan and execute internal communication strategies. Employee Engagement: Coordinate Great Place to Work Ambassadors to organize internal activities and events. Community Affairs: Participate in the CA team, coordinating charity activities throughout the year. Gender Equity Certification: Act as an internal auditor in alignment with consultant instructions. Experience You’ll Bring: Minimum 5 years’ experience in a similar role. Proficient in English and Italian (both spoken and written). Digitally proficient and resourceful, with attention to detail and a focus on leveraging tools for efficiency. Behaviours You’ll Need: Ability to work in an international environment. Ability to handle complexity and manage ambiguity. Strong organizational skills with the ability to perform under pressure and manage multiple priorities. Excellent Excel skills.
