This is an office/clerical position supporting the Prevention Services unit and the Children’s Services Act (CSA) unit. This position works in service or administrative program area(s) performing a broad variety of office and program support responsibilities that require applying some program knowledge and office and administrative practices, policies and procedures to perform specific office support activities. Assists in providing emergency shelter as mandated and required.
1. Opening, closing and purging cases in accordance with state and local policy.
2. Monitoring the CSA accounting email, matching reports to invoices for processing.
3. Monitor incoming faxes and mail, forwarding messages and mail to appropriate workers.
4. Drafting correspondence; scheduling appointments; organizing, updating, and maintaining physical and electronic files for the Prevention and CSA units.
5. Providing information to callers and processing referrals.
6. Creating, recording, maintaining, and distribution of documentation utilized in meetings (minutes, agendas, signature sheets, sign in sheets, staffings, etc).
7. Maintaining calendars and schedules for the unit, completing and submitting timesheets for the Prevention and CSA units.
8. Processing and collecting copayments for CSA cases.
9. Collecting and monitoring case specific data.
10. Provide resources/information to diversionary placements.
11. Process court orders and ensure that they are delivered to the appropriate worker.
12. Submit and track referrals for the Prevention and CSA units.
13. Maintain vehicle travel and maintenance logs for the Prevention and CSA units.
14. Answer routine questions concerning activities, programs, policies, procedures and rules governing department or activity.
15. Other duties as assigned to support agency operations.
Working knowledge of:
16. Office practices, equipment, standard clerical techniques, and computer-driven word processing
17. Terminology, principles, and methods utilized within the assigned area
18. Business English, spelling, punctuation, grammar and arithmetic
19. Some knowledge of bookkeeping may be required
Skill in:
20. Operating a personal computer to enter, retrieve, review or modify data
21. Utilizing word processing, spreadsheet, database, scheduling, or other software programs
22. Operating other office equipment such as a printer, copy machine, fax machine or other electronic data-entry equipment
23. May perform basic maintenance of computer system and office equipment

Minimum Qualifications (Education, Experience, Licensure, Certification):
39. High school diploma supplemented with related secretarial or administrative experience in social services or related field OR any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
40. Possession of a valid driver’s license in the Commonwealth of Virginia.
41. Must pass the agency’s background checks.
