Grand Circle is currently seeking candidates for the following position:
OPERATIONS and PROGRAM SERVICES COORDINATOR based in Rome Office for OUR French programs.
The successful candidate will be responsible for handling relations with suppliers, resolving quality issues, planning the activities for the tour groups before the season start in pursuit of our company’s excellence goals.
Responsibilities include:
Book all services with local suppliers prior to start of the season (hotels, bus companies, restaurants, local guides, etc.)
Handling administrative tasks such as:
preparing all Group documents, reviewing all Group and Trip Leader travel expenses, collecting, and filing all end of trip documents
Support the Manager in handling all medical/other emergencies for passengers on site in coordination with Tour Guide and Home Office in the USA
Quality correspondence and inquiry response with Home Office in the USA
Provide sales updates to suppliers on monthly/weekly basis
Book and confirm all arrival and departure transfers (to/from airport)
Book and confirm special arrangements for individual passengers.
Cancellations of the services according to timelines
Posting Job Advertisements
Screening CVs & selecting online potential candidates/guides
Assist the Manager of the Program Directors with Performance Management actions and yearly tours schedule assignment
Send Surveys from travelers to the Trip Leaders
Organizing logistics with Hiring/Training/Kick off/Events
Communicate to Trip Leaders throughout Newsletter
Use of internal systems GERT, TABLEAU, LOTUS NOTES
After hours and weekend support phone for emergencies on rotation during the season
Requirements:
French native or mother tongue is compulsory
2+ years’ experience in Travel & Tourism Business (Incoming Tour Operator Preferred)
Fluent English written and spoken (Company official language:
English)
Good knowledge of Microsoft Office package (especially Excel)
Experience in working with computer databases
Strong People Skills & Customer Care Oriented
Self-starter who is able to respect deadlines and prioritize
Demonstrated success in making tough decisions and taking risks
Passion for travel
