As the Project Procurement Coordinator, you will report to PGGA HUB Europe SCM Manager.
You will be responsible for complex support to our local Sales and Project Teams in line with tender sourcing strategy based on the sourcing related conditions of the client´s tender specification and for facilitating it’s adoption by all parties during tender process.
Location could be one of our Italian, Spanish, Danish or Portuguese offices.
Field of Activity:
You will be responsible for planning, executing, and reporting project sourcing performance, define Project Procurement Rules, establish Project Procurement Plan, Project Logistics Plan, and oversee Order Placement Deliveries for timely execution and costs for the area of services. Special attention to be given to transport and logistics and coordination with other SCM team members.
You will be involved in projects of varying size and scope. Our customers perform their businesses in various fields, which means that the technology used also varies.
Other tasks include Supplier base development and risk management, Supplier Qualification, Supplier Quality Issues, Claim Management, Supplier Performance Evaluation, monitoring and forecasting of cost reduction (CR, CA, TCI) and spend.
Tender Projects
1. Supporting tender in issuing the project budget and time schedule by providing timely and accurately input from suppliers´ quotations incl. provision/ commitment of anticipated qualified improvement potentials
2. Special attention to be given to price validity and lead times to better manage the risks coming from unpredictable and very volatile supply chain
3. Actively lead the negotiation with selected suppliers with prime focus on cost and quality improvements / apply digital sourcing solutions (E-auction) where applicable
4. Actively participate in the kick-off and tender progress meetings for selected target projects
5. Identification of sourcing related opportunities and critical conditions of the client´s tender specification
6. Issue the project related SS (sourcing strategy) on the overall tender strategy, identified sourcing related opportunities and critical project conditions
7. Communicate the SS to the local tender team and involve Local SCM Manager and HUB SCM if needed.
8. Ensure that RfQ’s are issued in compliance with tender specific terms & conditions
9. Ensure that suppliers/ subcontractors considered in HE´s tender to the client are qualified. If necessary, ensure adequate qualification measures
10. Issue ånd maintain the tender specific list of vendors (subcontractors) to be used in our bid to the client
11. Ensuring that supplier quotations remain valid until final placement of Purchase Order or until confirmation of tender project has been lost
12. Provide required support for Risk Reviews
Execution Projects:
13. Actively participate in project kick-off- and -progress meetings during execution phase of the project
14. first point of contact for overall sourcing-/ supplier related topics towards the project execution team and coordination with the Strategic Sourcing-/ Purchasing team during entire execution period of the project
15. activate and coordinate expediting activities if and when required
16. Identification of sourcing related opportunities and critical conditions of the client´s contract
17. Continuously identify improvement opportunities and ensure the implementation within respective countries including proper reflection in ERP systems
18. Provide adequate support/inputs to the Project Procurement Plan based on the deliverables from tender phase (such as Sourcing Strategy, suppliers quotations), overall project strategy, identified sourcing related opportunities and critical project conditions
19. Ensure that purchase orders are placed in compliance with the specification of the respective project to Qualified suppliers only
20. involve HUB SCM Manager for critical execution problems with regional/ global preferred suppliers
21. monitor compliance to health and safety as well as business ethics within operational work, contracts and negotiations
Reporting
22. Actively contribute to the consolidation of the data within IT 2884 unit and consequent reporting in required format and structure – main focus on spend, CR, CA, TCI, OTD etc
23. Actively review spend and CR data and provide final monthly confirmation to HUB SCM Manager
Knowledge, Skills, Experience:
24. Masters or bachelor degree in an engineering discipline or business administration or any other qualification that is deemed suitable for the role e.g. degree, etc
25. Good Italian both written and spoken (advantage not a must)
26. Good English both written and spoken
27. Minimum 3 years of professional experience in a project environment
28. Minimum 3 years of professional experience in a supply chain function
29. Minimum 2 years experience in procurement of tailored equipment
30. Good knowledge of processes in industrial turnkey contracts
31. Strength in commercial/legal aspects of purchasing
32. Excellent communication & proven negotiation skills
33. Drive to continuously create results and innovative solutions
34. Skilled communicator who can interface with numerous external and internal parties at different levels in a project environment
