Executive Assistant to CEO & PR
Core Responsibilities
* Diary & Task Management: Oversee and manage the daily schedule, ensuring timely follow-up on crucial communications, including correspondence with property owners and approvals needed by the Creative Team.
* VIP Guest Coordination: Regularly review VIP arrival lists and monitor in-house guests to identify key visitors, long-time regulars, property owners, and potential property buyers.
* Travel Arrangements: Arrange flights, transfers, and accommodations for the family in the absence of the Junior Assistant.
1. Property Purchase Enquiries
* Respond to initial property purchase inquiries, assessing the level of interest and conducting preliminary research. This includes reaching out to concierge or internal teams and conducting online searches to gather background information before coordinating an introduction with CEO Count Benedikt.
* Maintain records, update databases, and track inquiries that may return as rental or purchase opportunities.
2. Weekly Creative Meetings
* Attend weekly creative meetings to discuss strategy, social media imagery, and graphic design elements, providing input on various subjects and facilitating brainstorming.
3. Event Coordination
* Support the Creative Team with event-specific copy, guest lists, and community outreach for Reschio-hosted events;
* Manage and expand a "neighbors' mailing list" to update local contacts about upcoming events, including theatre performances, cinema nights, and art exhibitions, working closely with team members to enhance community engagement.
Public Relations Management will be a plus:
* Act as a primary liaison for Reschio’s four PR agencies (London, New York, Berlin, Milan), coordinating journalists’ visits, selecting optimal dates with Reservations, and organizing personalized itineraries in collaboration with the concierge team.
* For group press trips, ensure each journalist has dedicated time with our CEO, while also exploring additional angles for media coverage.
* Develop strategic PR initiatives and participate in monthly calls with agencies to keep them aligned and inspired. Spearhead an annual PR Workshop at Reschio, creating the agenda, managing contributions, and ensuring personal engagement with the family for each attendee.
Skills and background required:
* Minimum of 10 years of experience as an executive assistant or in a PR-related role, preferably in luxury hospitality, real estate, or lifestyle brands;
* Bachelor’s degree in Communications, Public Relations, Marketing, Business Administration, or a related field with a strong cultural and educational foundation;
* A well-rounded cultural knowledge to interact thoughtfully and confidently with a diverse, international clientele, particularly within the luxury sector;
* Strong ethical and value-driven integrity;
* Proven ability to handle confidential information with the utmost sensitivity;
* Exceptional ability to manage multiple responsibilities, prioritize tasks, and follow through on details in a fast-paced environment;
* Hands-on experience in coordinating with PR agencies, organizing media visits, and supporting strategic PR initiatives;
* Ability to interact charmingly with high-profile guests, VIPs, and internal stakeholders, demonstrating discretion, diplomacy, and professionalism;
* Experience in event management or support, with a strong attention to detail in guest lists, itineraries, and logistics;
* Ability to gather and analyze information from various sources to provide background insights on potential property buyers or VIP guests;
* Fluent in English with a talent for clear, persuasive writing and impeccable grammar. Proficiency in Italian is highly desirable for local communications.
* Comfort working in international settings and familiarity with a diverse clientele, particularly in the luxury sector;
* Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM systems, digital communication platforms, and task management software.
