Job PurposeThe role holder will be responsible for supporting Procurement & Tender team of SRS in managing tender, procurement and expediting.We are looking for a motivated and detail-oriented Tender & Procurement Specialist to join our growing team.The ideal candidate will assist in sourcing goods and services, maintaining vendor relationships, and ensuring our procurement processes are efficient and effective.The candidate will also be responsible for overseeing the preparation and submission of tender documents for projects and ensuring compliance with all requirements outlined in the tender requests. This role requires a strong understanding of procurement processes, exceptional writing skills, and the ability to manage multiple deadlines effectively.This position is perfect for individuals looking to develop their careers in tender, procurement and supply chain management.Main ActivitiesProcurement:Issue Request for Quotation to suppliers, perform the economical alignment with the suppliers until Purchase Order submission;Creation of purchase orders to ensure timely procurement of goods and services. Follow up of the purchase orders until delivery of goods and services;Communicate with vendors to obtain product information, clarify order details, and handle inquiries regarding deliveries and payments.Maintain accurate procurement records; Preparing and updating excel models for managing procurement and expeditingConduct basic market research to assist in identifying cost-saving opportunities and potential new suppliers.Prepare reports on purchasing activities, supplier performance, and inventory usage for review by senior procurement staff.Identifying areas for improvement in procurement processes and assist in implementing best practices.Tender:Oversee the entire tender process, from identifying opportunities to preparing and submitting proposals that meet client specifications and deadlines.Verification of administrative requirements for participation to different kind of tenders;Prepare comprehensive tender documents, including technical and financial proposals, ensuring all content is accurate, complete, and compliant with the submission requirements.Managing the collection and organization of all tender documentation (both administrative, technical and economical) and organize it to be uploaded on client portals according to the bid requirements;Preparing administrative and economical documents associated with contracts;Work closely with cross-functional teams, including project managers, engineers, human resources and finance, to gather necessary information and ensure proposals reflect the capabilities and strengths of the organization.Conduct research to identify potential tender opportunities and assess competitive positioning, staying informed about industry trends and market developments.Ensure alignment with relevant regulations, standards, and contractual obligations throughout the tendering process.Coordinate with external suppliers and subcontractors to obtain necessary documentation, pricing, and technical specifications for inclusion in tender submissions.Analyse tender specifications and develop strategies to enhance the competitiveness of proposals based on market conditions and client needs.Identify and implement best practices for the tendering process to improve efficiency, effectiveness, and overall quality of submissionsIdeal Background Degree in the field of Business Administration, Economics, Supply Chain Management, or a related field; relevant coursework or certifications can be an advantage.4/5 years previous experience in tender management and procurement management or in a similar roleProficient in Microsoft Office Suite (especially Excel) and Acrobat; experience with ERP systems is a plus.Good knowledge of EnglishStrong negotiation and communication skills, with the ability to build and maintain relationships with suppliers and stakeholders.Flexible mindsetA proactive, results-oriented approach with the ability to work collaboratively and independently.
