As an Institutional Coordinator you will be responsible for the scientific and administrative coordination and the daily technical, administrative and financial management and the implementation of the ENGAGE.EU activities at Luiss University, under the direct supervision of the Head of the International and Educational Development Area, within the Directorate of Academic Affairs at Luiss.
Key Responsibilities
Project Coordination & Implementation
Oversee the overall progress of the project, ensuring milestones and deliverables are met.
Manage the operationalization and timing of all project activities and support the institutionalization process of the Alliance within the University, with attention on strategic aspects and documents.
Act as the primary liaison between internal and external stakeholders, ensuring the proper flow of information.
Maintain direct contact with the European coordinating team and supervise and support Luiss Area coordinators in project implementation.
Governance & Communication
Represent Luiss in the Management Team, Executive Committee, and other governance boards as required.
Attending project-related technical and management meetings, including review sessions.
Quality Assurance & Risk Management
Ensure all implemented activities align with the expected project outcomes and the University's vision.
Identify and mitigate potential risks while ensuring technical progress remains on track.
Detect and address technical issues early to facilitate swift resolution.
Financial & Administrative Management
Oversee the daily financial management of the project, ensuring compliance with budgetary constraints in coordination with Luiss financial officer.
Monitor the allocation of financial resources within Luiss and identify any deviations, taking corrective action when necessary.
Support the Luiss team in preparing intermediate and final technical and financial reports.
Oversee the correct archive and updates of the project dossier, ensuring proper documentation of all expenses and supporting documents for cost justification.
Monitoring & Reporting
Track technical progress concerning milestones and deliverables.
Oversee the preparation and timely submission of project deliverables.
Additional Requirements
Availability for occasional international travel as required by the project.
Skills & Qualifications (S&Q)
Essential S&Q
The ideal candidate should have:
sound scientific background: Master Degree in Humanities or Social Sciences;
fluency in English (C2 level), with strong writing and communication skills;
at least 3 years of international experience in project management within higher education and research sectors;
experience in budgeting, financial reporting, and EU project management, with special focus on compliance with EU regulations;
experience in office administration, including database management and record-keeping;
a strong commitment to maintaining order, transparency, and structured management of processes, ensuring clarity and accountability in all tasks;
excellent organizational skills, with the ability to handle multiple tasks, tight deadlines, and maintain attention to detail;
proven ability to manage complex projects, multitask, take initiative, and work independently;
strong interpersonal skills and the ability to collaborate across teams and influence stakeholders;
adaptability in a multicultural, international environment and a proactive, results-oriented attitude.
Additional valued S&Q
Familiarity with EU policies in higher education, research, and innovation, especially in the Humanities and Social Sciences sectors.
Experience/ knowledge in PM processes and PM tools (e.g. Quire, Planner, others).
This maternity replacement position will be one-year, based at Luiss University, Viale Romania 32, Rome.
