Main Responsibilities
We are seeking a skilled Document Controller to join our team. The successful candidate will be responsible for:
1. Ensuring that documents are handled according to our internal procedures, contractual requirements, and project-specific needs during project execution;
2. Maintaining accurate metadata for each Project Document to facilitate easy retrieval and identification;
3. Storing all relevant contractual and specific project documents safely in our Document Management System (DMS).
Key Tasks
The selected candidate will perform the following tasks:
1. Serve as the central point of contact for the project team for all document management-related issues;
2. Setup and manage the project-specific Document Management System according to our organization's standards;
3. Establish general requirements for documents through project-specific coordination procedures;
4. Train the project team on document management processes and the DMS;
5. Support partners, including customers, vendors, contractors, and consultants, in project-specific document management processes;
6. Maintain an updated Master Document Register with required metadata;
7. Verify the formal correctness of internal and external documents and provide clear instructions for revisions when necessary;
8. Receive, verify, and distribute internal and external project documentation in the DMS;
9. Transmit documents to all project partners, including internal disciplines, customers, vendors, and consultants;
10. Verify the status of vendors' document submission and expedite delayed or incomplete documents;
11. Verify the status of the documents' review and approval workflow and expedite the relevant responsible party;
12. Verify the completeness of final vendors' documentation (Maintenance and Inspection Book);
13. Prepare periodical reports on document exchange for project management reporting deviations in document submission from various stakeholders;
14. Provide an accurate and complete archive of project documents at the end of the project.
Requirements
To succeed in this role, you should have:
1. Experience as a Document Controller in engineering companies and proficiency with IT-based Document Management Systems;
2. Fluent spoken and written English and Italian language skills;
3. Ability to manage stress situations effectively;
4. Strong will to learn, proactivity, and ability to work both individually and as part of a team;
5. Open-mindedness to continuous improvement and professional growth.
