WORKPLACE: HQ - San Martino di Lupari (PD).KEY RESPONSIBILITIES:TRAVELSDevelop and implement travel policies and procedures that align with the organization’s objectives and budget;Oversee the planning and booking of travel arrangements for employees and clients, including flights, accommodations, transportation, and other travel-related services;Manage and develop relationships with travel agencies (e.g. UVET) and vendors (e.g. Hotels, Restaurants, etc), through the dedicated digital platforms, providing specific reports and action plans related to travel risk management;Negotiate contracts terms or rates with travel service providers, globally;Negotiate and manage travel insurance policies with the brokers;Provide advice on travel documents, insurance, import/export regulations etc, ensuring compliance with legal and regulatory requirements related to travel;Handle credit card programs and charges, in collaboration and coordination with Finance department;Manage Company travel software and integrations with HR ERP software (Zucchetti – ZTravel and ZCarFleet);Monitor Company travel expenses and ensure compliance with travel policies, identifying cost-saving opportunities;Provide exceptional support to internal and external stakeholders, addressing their travel needs and concerns effectively;Drive continuous improvement of travel programs, staying constantly updated on industry trends, travel advisories, and best practices.FLEET MANAGEMENTPurchase vehicles to expand and/or enhance the fleet with a focus on sustainability;Negotiate car rental and car leasing contracts and terms;Manage the Company car pool;Schedule regular maintenance on all vehicles;Coordinate Drivers communications and advice;Manage vehicle licensure and registration;Manage company Fuel cards and Highway pass (Telepass);Ensure all drivers have proper and valid documentation;Provide reports to management on budgeting, schedules, maintenance and fleet progress;Develop methods to decrease fleet cost and improve efficiency.REQUIREMENTS:Proven work experience as a Travel and Fleet Manager;High school diploma or equivalent; Bachelor’s degree is preferred;Knowledge of international travel regulations, customs and currencies;Knowledge of TE reporting and processing;Working knowledge of MS Office and Corporate Travel Management software;Excellent communication (oral and written) and negotiation skills;Well-organized and reliable;An analytical mind with strong corporate approach;Customer-oriented approach.DELIVERABLES:Company travel expenses;Compliance to travel policy;Cost of car fleet;Digital integration of ERP with Company systems.
