We are currently recruiting for a full time Commercial Specialist in EU reporting to the Business Operations Department. This role is highly collaborative and requires drive and excellent time management skills. You will work closely with different business sectors and deliver activities to support business growth.
Job Description:
E-commerce Platform and Related Document Management
Platform Checks: Regularly monitor multiple electronic procurement platforms (e.g., Mepa) to stay updated on the latest procurement notices and requirements.
Document Management: Download necessary documents from suppliers, fill them out according to project requirements, and ensure all information is accurate and compliant.
Document Upload: Timely upload completed documents following the specified procedures to ensure on-time submission.
Document Updates and Maintenance: Regularly review and update relevant business documents to maintain the latest versions for team access.
Tender Management
Tender filling: According to the requirements of the tender, integrate existing business documents and fill them in the correct sections;
Tender document organization: Integrate the required documents for bidding, assist sales in completing the preparation work before uploading the bidding documents, etc;
Document Update: Business related documents required for internal bidding within the company need to be maintained in the latest version according to actual circumstances;
Tender Archiving: After completing the tender submission, the bidding materials will be organized and archived within the business unit.
Logistics Support: Customer Shipment Booking Services and Troubleshooting: Resolving sample delivery issues with third party couriers/customs for customers.
Accounts Receivable Support: Invoicing and Payment Management
Other work arranged by the managers.
Essential Skills/Experience:
Degree in Law, Economics, Finance, or Business Management. Biology background or relevant work experience will be plus
At least 2 years of experience in a similar role, preferably in the biotech/medical devices sector or a regulated environment.
In-depth knowledge of tender regulations and procedures.
Excellent organizational and time management skills.
Outstanding communication and negotiation skills.
Ability to work under pressure and meet strict deadlines.
Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint).
Outstanding listening, verbal and written English communication skills.
Native or business level Italian Speaking
