The Impact You’ll Make in this Role We are seeking a skilled and proactive administration assistant to the Country Board of Directors in Italy to support in the Country governance activities. The person will be responsible for managing the agenda and execution of key board meetings incl. CLT and reviews. As a Coordinator & Assistant you will make an impact by: Providing advanced administrative support primarily to the BoD and Country leadership team’s member as required for Country governance activities. Applying a global mindset and cultural sensitivity to initiatives and activities, being proactive, flexible and applying highly developed administrative and coordination skills to complete activities. Preparing presentations, handling information requests, preparing correspondence and draft communications, arranging conference calls, and scheduling meetings and minutes. Administering and communicating internally corporate policies and procedures, handling uncommon situations through interpretation of office guidelines and administrative practices. Being a Single Point of Contact (SPOC) and a facilitator for travel expenses management facilitating communication on process and procedures at country level, in coordination with responsible functions. Serving as communication liaisons between the Board, senior management, and external partners, facilitating effective communication and information flow among stakeholders. Supporting special projects and initiatives as directed by the Board. Supporting and coordinating with Business and Functions leaders (including but not limited to HR, EHS, Finance, Legal and Statutory) on administration activities such as bills to finance, purchase orders, liaising with procurement for office supplies. Ensuring the Board’s administrative operations run smoothly and efficiently, overseeing day-to-day operational tasks, liaising with relevant functions, managing administrative tasks, e.g., scheduling meetings, taking minutes. Your Skills And Expertise To set you up for success in this role from day one, Solventum requires (at a minimum) the following qualifications: Preferred University's Degree and at least 5 years' experience in Communications or business administration. Strong written and verbal communication abilities. Proven experience in collaborating with diverse and international teams and stakeholders, an Executive Assistant or Communication specialist. Proficiency in office software (Microsoft Office Suite, scheduling tools). Ability to handle sensitive information with discretion, proactive attitude, problem-solving mindset, and attention to detail. Proficiency in English is required. Bachelor’s degree in Business Administration, Communications, or a related field (preferred). Work location: Pioltello, Hybrid Eligible (Job Duties allow for some remote work but require to be at the office as needed). May include occasional travel (up to 5% domestic/international).
