We are looking for a Facility Manager to join our team and support the day-to-day operations of the company, with a focus on facility management, safety management, communication with internal and external clients, and coordination of logistics activities.The company has operational sites both in the center of Turin and in the municipality of Settimo Torinese. Therefore, candidates must be willing to travel between different locations as needed by the company.Key Responsibilities: Front Office and Facility Management: Oversee the daily operations of the office, ensuring that spaces are always clean, safe, and efficient. Organize and supervise the routine and extraordinary maintenance of company facilities and structures. Client and Visitor Reception: Manage client visits and ensure a welcoming atmosphere. Phone and Email Management: Handle calls and emails efficiently. Mail and Communications Management: Oversee the incoming and outgoing mail, as well as internal communications.Organization and Management of Shared Spaces: Manage common areas and ensure they are well-maintained and functional. Document and Database Management: Oversee archiving systems and databases to ensure organization and accessibility.Suppliers and Contracts: Manage contracts with service providers and contractors (maintenance, cleaning, security, etc.), negotiating favorable terms and conditions for the company.Contract Compliance and Delivery Oversight: Oversee the adherence to contractual agreements and delivery timelines for all services related to company facilities. Procurement Management: Manage the procurement of goods and services for the office, monitoring suppliers and ensuring that requests are fulfilled on time and within budget. Oversee the provision of supplies for staff (office materials, furniture, etc.).Safety Management: Ensure compliance with all workplace safety regulations. Coordinate activities necessary to ensure compliance with legal and company regulations, including mandatory medical exams, safety training, and emergency management. Liaison with Internal and External Suppliers: Serve as the main point of contact between the company and clients, both internal and external, managing communications and requests in a timely and professional manner. Coordinate daily activities to ensure all requests are fulfilled efficiently. Administrative Support: Handle routine administrative tasks, including familiarity with customs procedures, managing company documentation, and preparing periodic reports for management. Provide support to various departments with ad hoc tasks.Requirements:At least 3-5 years of prior experience in a similar role, preferably in medium-to-large companies, is mandatory. A degree or technical diploma (preferably in Engineering, Architecture, Economics, or similar fields). Knowledge of workplace safety regulations and experience in facility management. Excellent organizational, time management, and attention to detail skills.Strong proficiency in key computer tools (Microsoft Office, order management software, safety management systems). Flexibility and availability to manage unforeseen events and handle varied tasks, even in stressful situations. Advanced knowledge of English. Experience with resource management systems (e.g., CAFM). Ability to manage urgent situations, make quick decisions, and solve complex problems efficiently.
