An Italian leading company in the ICT Consulting sector, is looking for Executive assistant to CEO to enhance the support and provide top level assistance.
The ideal candidate has at least 5 years of relevant professional experience as an Executive Assistant and is able to play a strategic role in delivering specialized assistance directly to the Board Members of the Company.
He/She will collaborate to guarantee the seamless execution of daily operations and his/hers’ activities will be crucial for the entire team, making a substantial contribution to overall company’s productivitity and success.
The Role
As an Executive Assistant, the daily duties will include:
· Manage Complex agenda: update executive calendars, schedule meetings, teleconferences, and videoconferences across global time zones & geographies;
· Willing to travel frequently: join the Board Members during the official Company travels, ensuring availability and flexibility in planifications;
· Arrange International business travels: book and manage trips, including itineraries, agendas, flights, passports, trains, hotels, and car rentals;
· Act as the primary point of contact for internal and external stakeholders, ensuring timely and professional communication;
· Handle confidential and sensitive information with the utmost discretion;
· Manage phone calls, filter requests, distribute correspondence on various projects, tasks;
· Assist in the planning and coordination of corporate events, conferences, and meetings;
· Editing of reports and Key presentations;
· Open, sort, and distribute incoming correspondence and organize deliveries.

Key requirements
· Proficient Business English;
· Good knowledge of Portuguese;
· Flexibility to travel abroad as needed;
· Ideally have completed secretarial studies/have a University Degree in business administration, communication and administration, or similar;
· Very good Microsoft Office Suite skills (Excel, PowerPoint, Word) and other relevant software applications;
· Strong organizational skills and ability to prioritize and coordinate multiple tasks.
