We are seeking a highly organised and dynamic Event Coordinator to join our Communications team. This role will be instrumental in supporting both external and internal events across our key markets, with a strong focus on high-stakes external events in Italy and France. Additionally, the role will provide support for internal events in the UK, ensuring smooth coordination and execution.
The Event Coordinator will report functionally to the Head of Global Events, ensuring alignment with the group’s overall event strategy while working closely with local teams in Italy, France, and the UK. The role will work alongside internal teams and senior management to align event strategies with business objectives.
We are looking for a hands-on, flexible, and experienced professional (ideally 10+ years of experience), capable of adapting to dynamic environments while maintaining high execution standards.
Main activities
Event Logistics & Execution:
* Oversee, advise on and execute all logistical aspects of external events, including venue selection, vendor management, sponsorships, catering, transportation, and on-site coordination (exhibition space set-up and manning, brand visibility, speaker management, reception, or fringe event hosting).
Event Project Management:
* Act as main point of contact from beginning to end, including contacts with organisers and post event coverage on various internal and external channels; keeping timings and ensuring different internal stakeholders are aligned and informed of their tasks.
* Assist with internal event logistics in the UK, coordinating with local teams as needed.
Strategic Planning & Stakeholder Collaboration:
* Contribute to defining the external event strategy, ensuring alignment with business goals and brand positioning.
* Work with senior management and key stakeholders to maximise event impact.
* Act as the key liaison between various teams to ensure smooth coordination.
Branded Collateral & Visibility:
* Assist in selecting and sourcing branded collateral for giveaways and promotional activities at events.
Budget & Performance Management:
* Monitor event budgets, negotiate contracts, and optimise costs while maintaining quality.
* Prepare post-event reports, analysing attendance, feedback, and ROI to drive continuous improvement.
Desired qualifications
Education:
* Degree level educational background – A master’s degree in public relations, marketing, communication, or a related field would be particularly beneficial.
Languages:
* Fluency in Italian is mandatory.
* Proficiency in French is a strong advantage.
Experience / Professional requirements:
* 10+ years of experience in event planning and management, ideally in an international setting.
* Strong organisational, project management, and multitasking skills.
* Ability to work under pressure in a fast-paced, global environment.
* Willingness to travel across Europe as required.
* Hands-on, solution-driven mindset with keen attention to detail.
