Join our growing HR team as a Talent Acquisition Coordinator! In line with Villanova’s strategic plan, Rooted. Restless and under the guidance of the Director of Talent Acquisition, the Talent Acquisition Coordinator plays an important role in supporting and optimizing the daily operations of the talent acquisition and employment processes at Villanova University. This role is essential for ensuring a seamless, equitable, and engaging experience for all involved throughout the hiring lifecycle. This role will primarily focus on the successful execution of preemployment and onboarding practices for University employees and will serve as a key contact person for talent acquisition at Villanova University. The Talent Acquisition Coordinator also supports the Talent Acquisition team and contributes to various HR initiatives, including onboarding, compliance, and recruitment efforts.
We currently have two opportunities available: Talent Acquisition Coordinator-Student/Faculty and Talent Acquisition Coordinator-Staff/Temp. Each TA Coordinator will specialize in different areas of employment.

Duties and Responsibilities:
* Onboarding:
o Documentation and Data Entry:
+ Ensure successful completion of pre-employment and onboarding processes
+ Assign, review, and manage electronic filing of onboarding paperwork for all new student employees
+ Collaborate with HRIS and Payroll teams to provide information for timely and accurate processing
o Coordinate Events:
+ Plan and attend events related to human resources, onboarding, and recruitment
o Manage Form I-9 Compliance:
+ Oversee the completion and compliance of Form I-9 for all employees, ensuring adherence to legal requirements.
+ Proactively follow up on incomplete forms and/or issues within three days of the start date and promptly escalate any issues to the Director of Talent Acquisition.
+ Complete periodic compliance reporting and updates.
+ Coordinate proactive I-9 reverification process
* Systems Management and Support
o Applicant Tracking System (ATS):
+ Serve as the primary point of contact for the ATS, ensuring its effective use and addressing any system-related issues.
+ Make updates to the system and communications as needed
+ Collaborate with the Talent Acquisition team, Office of the Provost, etc. to offer applicant and system support for positions.
o Mailbox and Calendar Management:
+ Oversee the management of assigned mailbox and calendar, ensuring timely responses to inquiries and requests.
o Website and Resources:
+ Maintain and update information as needed
* Talent Acquisition Support
o Process and Policies:
+ Under the direction of the Director, recommend, update, develop, and implement policies, guidelines, and procedures
o Event Attendance:
+ Represent the university at job fairs, recruitment events, and other networking opportunities to promote job opportunities and engage with potential candidates.
o Project Support:
+ Collaborate with and support the Talent Acquisition Team with projects and duties as assigned
* NONESSENTIAL JOB FUNCTIONS (Less Critical Duties etc.)
o Serve as backup to Senior Compliance Coordinator and Talent Acquisition Coordinator
o Collaborate with and support members of the Human Resources department as needed and assigned.
o Serve as backup to HR Front Desk as needed
Minimum Qualifications:
* Formal Education
o High school diploma required
* Work Experience
o A minimum of 1 year of previous experience in human resources, talent acquisition/recruitment, or higher education is required.
o Completed HR coursework may be considered as relevant experience
* Work Skills
o Excellent interpersonal, organizational, and written communication skills required.
o Good problem-solving skills, resourcefulness, initiative, and ability to proactively suggest process improvements required.
o Attention to detail; demonstrated ability to manage multiple tasks and meet deadlines in a fast-paced environment.
o Must be able to work with limited supervision, have a proactive work style, and the ability to work within a large team.
o Must have a collaborative and problem-solving approach and a commitment to Villanova University’s Augustinian values.
o Must protect confidential information.
* Specific Job Knowledge
o Knowledge of employment principles required.
* Equipment Knowledge
o Strong computer skills essential. Knowledge of Microsoft Office Suite programs required.
Preferred Qualifications:
* Bachelor’s degree preferred.
* Work Experience
o Previous experience administering the I-9 process for new employees is preferred
* Work Skills
o Knowledge of domestic and international employment law is preferred.
* Equipment Knowledge
o Previous experience in the use of an applicant tracking system preferred.
o Previous experience using Equifax preferred.
