Position Overview:
We are seeking a highly organized and detail-oriented AV Project Support Specialist to join our team. This role is ideal for someone with experience in the AV industry, fleet and inventory management, and high-end client service. The right candidate will be an adaptable problem-solver, comfortable working in a fast-paced environment with multiple priorities.
Key Responsibilities:
Operations & Logistics:
1. Manage fleet logistics, including vehicle registrations, accident coordination, and maintenance in collaboration with project managers and technicians.
2. Work with the fleet management firm to ensure compliance and upkeep.
3. Oversee warehouse-related administrative tasks, including reconciling equipment at the end of projects.
4. Handle special orders and logistics for company events, including coordinating gifts, flowers, and supplies.
5. Arrange accommodations and travel as needed for employees or company events.
Project & Client Support:
1. Support active projects (~20 ongoing) as well as time-sensitive, high-priority special projects.
2. Act as a liaison between the client service department and high-end clientele, ensuring seamless service delivery.
3. Handle urgent client requests, including last-minute troubleshooting before major events.
4. Maintain strict confidentiality, managing NDAs and background checks where required.
Required Qualifications:
1. Minimum of 3 years in an administrative or operations role, ideally in AV integration, construction, or a similar field.
2. Basic understanding of audio-visual equipment and technology, including major manufacturers and equipment pairings.
3. Experience managing contracts, invoices, and project documentation.
4. Fleet and asset management experience (company vehicles, warehouse inventory, and equipment tracking).
5. Strong skills in Microsoft Office Suite, especially Excel.
6. Proven ability to interact with high-net-worth clients while maintaining professionalism and confidentiality.
7. Self-starter with excellent attention to detail and a strong work ethic.
Preferred Qualifications:
1. Experience in event coordination and logistics.
2. Background in luxury service industries.
