Are you an organized, proactive, and adaptable professional with experience in Executive support and protocols oversight and execution? The Executive Assistant will support our CEO and help manage the day-to-day operations of the executive office. They will play a critical role in ensuring the smooth and efficient running of protocols and institutional visits. This role involves providing executive support while managing high-level visits and events, ensuring seamless coordination and adherence to formal protocols.
What you will do:
Executive Support:
* CEO Calendar Management and travel coordination scheduling meetings, personal agenda items, events, appointments while prioritizing requests
* Act as a point of contact between the CEO, executives, employees, and external partners, managing communications and meeting requests
* Meeting Preparation: Prepare agendas, presentations, and minutes for meetings, following up on action items to ensure the CEO is well-prepared
* Maintain the highest level of discretion when handling confidential information
* Internal management of tickets for guests, internal associates, sponsors, includes all ‘VIP’ relations of the club: invitations to matches, events, Christmas gifts, etc
* Krause Group Executive Admin point of contact and assist with President when in Parma with all logistics and operational activities/necessities
* Manage KG associates’ travel and logistic needs: scheduling eventual translator, booking meeting rooms, helping with hotel and restaurant reservations
Protocol and Institutional Visits:
* Protocol Oversight: assist executing protocol for institutional visits, VIPs, and official events, ensuring all invitations and ceremonial activities are properly executed according to the highest standards of protocol
* Organize invitations, agenda and overall hospitality for high-profile guests. Ensure all guests are welcomed according to the appropriate protocol also during the meeting, event or match
* Manage the scheduling of official visits, including preparing agendas, coordinating meeting rooms and hospitality, and ensuring the leadership team is well-prepared
* Assist in the execution of institutional events agenda
What we’re looking for:
* Proven experience as an Executive Assistant or in a similar role at a C-suite level
* Experience of protocols and etiquette management related to institutional visits, VIP guests, and official events, with a strong understanding of formal procedures
* Event coordination experience for institutional visits, ensuring every detail is properly organized, from guest coordination to logistics
* Ability to manage VIP relations, ensuring guests are treated with the highest level of respect and professionalism
* Proficient in Microsoft Office Suite
* Fluency in Italian & English
* Excellent organizational, time-management and expert level written and verbal communication skills
* Experience with agenda and logistics management anticipating any issues that may arise
* Ability to work in a dynamic environment handling multiple priorities simultaneously
* Ability to handle situations with poise and professionalism, proactive, resourceful, and positive attitude
