We are looking for a passionate and enthusiastic Event Manager for Borgo Santo Pietro, an award-winning five-star luxury boutique hotel located in the heart of the Tuscan countryside, surrounded by a 300-acre organic farm, vineyards, and wonderful gardens.
The Event Manager will have outstanding interpersonal and relationship-building skills to work with cross-functional teams. He/she will have a special talent for ensuring an excellent level of service, a strong business acumen, passion for service, and a desire to promote a continuous learning environment.
Main Responsibilities:
1. Manage all our private events, such as celebrations, weddings, and other special seasonal events, including selling the whole property in exclusive.
2. Handle all event inquiries: propose, follow up, and contract, ensuring TCs and hotel policies are met.
3. Negotiate dates, spaces, and rates to reach sales goals, ensuring that the company vision and mission are respected.
4. Encourage business through impeccable customer service.
5. Manage email correspondences with travel agents, wedding planners, or direct guests.
6. Promote, organize, and conduct site inspections.
7. Coordinate all the departments involved in private events, including taking care of the ODS/BEO indicating all the details for the creation of the event; follow up on the operational and logistic on-site needs when events take place.
8. Manage the events in the company PMS system, including check of deposits, payments, and final bill before the final invoice is issued.
9. Cooperate with the marketing department to promote our events.
Candidate Profile:
1. At least 2 years of experience in a similar role, preferably in luxury hotels.
2. Knowledge of LHW high-level standards.
3. Knowledge of the FB department and banqueting services.
4. Proficient knowledge of Microsoft Office Suite, Hotel PMS, OS, email.
5. Excellent level of English language is required.
6. Proactive attitude and excellent communication skills.
7. Capability to deal with pressure and deadlines.
8. Strong attention to detail.
9. Outstanding team-work orientation.
10. Exceptional problem-solving skills.
