Main Duties and Responsibilities
1. Supports the implementation of the hotel’s annual business plan. Generates and reviews financial reports that are linked to the plan’s financial goals.
2. Supports the development of the annual operating budget for the hotel and provides analytical support during budget reviews to identify cost saving and productivity opportunities.
3. Shares forecast information with operations to enable the team to react to changes in the business. Assists management in streamlining its visions and goals on a revolving basis.
4. Attends critique meetings to review information with the management team. Provides forecast information for the Finance Manager in a timely manner.
5. Maintains a strong accounting & operational control environment to safeguard assets, improve operations and profitability, and manage business risks. Ensures compliance with standard and local operating procedures (SOPs and LSOPs). Assists the Finance Manager in the preparation and implementation of all policies and procedures and ensures that all transactions are subject to the approval process to ensure that such controls are strictly adhered to.
6. Advises the Finance Manager regarding existing and evolving operating/financial issues.
7. Communicates financial concepts in a clear and persuasive manner that is easy to understand and drives desired behaviors.
8. Leverages technology effectively and uses information systems and tools to generate financial reports and provide managers with analytical support to drive decision-making.
9. Oversees the acquisition and maintenance of property-based systems.
10. Monitors systems to ensure accuracy of data (e.g., outlet menu prices) and supports the achievement of revenue goals.
11. Oversees internal, external, and regulatory audit processes and ensures compliance with Standard Operating Procedures (SOPs).
12. Effectively leverages centralized accounting processes and shared services. Assists the Finance Manager and the Planning Committee in the review of all current contracts and ensures that the selection process is in accordance with the established criteria.
13. Ensures tax rates used are current and proper amounts are collected and/or accrued. Administers the payment of hotel taxes and liaises with the hotel’s consultant on issues faced with the tax authorities.
14. Ensures hotel permits and licenses are current.
15. Reviews audit issues with the Finance Manager and makes corrections as necessary.
16. Assigns team members and other department managers clear accountability to accomplish goals.
17. Successful completion of the training/certification process.
ACCOUNTING
1. Reconciles balance sheet and ensures account balances are supported by appropriate documentation in accordance with SOPs.
2. Ensures that the financial reports are timely prepared and in accordance with established accounting standards and relevant laws. Analyzes and investigates all variances that occur.
3. Revenue Cycle
1. Reviews daily revenue journal.
2. Controls advance deposits.
3. Monitors house banks and circulating floats.
4. Liaises with General Cashier on analyzing and investigating cashiers’ over and short.
5. Implements and administers the hotel’s credit policy to ensure speedy processing and collection of receivables.
4. Expenditure Cycle
1. Reviews creditors’ journal in the A/P Module.
2. Monitors payment of invoices and updating of creditor accounts.
3. Verifies travel agency commission payments.
4. Supervises the preparation of the monthly bank reconciliation statement.
5. General Accounting
1. Processes month-end journals.
2. Reviews accounts payable and accounts receivable interface to the General Ledger.
3. Prepares and reconciles Balance Sheet accounts.
4. Participates in month-end review.
5. Performs payroll audits.
6. Prepares the hotel’s depreciation and amortization schedules and maintains the Capital Expenditure Reserve Account.
6. Assists the Finance Manager in the preparation of monthly cash flow statements and external reporting requirements.
7. Organizes the inventory and fixed assets count.
