Position Summary: Reporting to the College of Engineering’s Assistant Dean for Finance and Administration, the College of Engineering Operations Administrator provides administrative support to the College of Engineering Dean’s Office in all areas including Finance and Administration, Operations, Undergraduate Affairs, Graduate Affairs, IT and Student Programs. Main responsibilities include running reports, form management, SharePoint, data storage, programs support and collecting and editing information for college web site posting.
Duties and Responsibilities
Supporting Dean’s Office, Finance, Administration & Operations Team, Undergraduate Affairs and Graduate Affairs Office
* Assist in compiling and analyzing the statistical information necessary to respond to various surveys, questionnaires, and reports.
* Prepare and maintain procedures to assist staff with access to reports and report generation.
* Data management which includes collection and integrity of the data.
* Ensure policies and procedures are up to date and posted in appropriate areas.
* Assist with tuition remission allocation.
* Develop and support workflows for personnel matters, including Paid Time Off (vacation, sick, and all forms of Leave management). Ensure the Banner system is updated.
* Provide training and support for departmental administration.
* Collect data and metrics to support decision-making.
* Conduct annual equipment audit.
* Manage building requests and room access.
* Assist with Graduate Assistant offer letters.
Forms Management, Database and Website
* Work directly with academic program offices and administrative areas for building forms, data collection, providing reports for reviewing and historical data to include student absence, changing of major, pursuing a minor, entrepreneurship events, request to walk in graduation, STEM program applications, etc.
* Oversee the college’s SharePoint.
* Build and maintain storefront web sites in TouchNet secure online payment system including reporting for payment tracking and Bursar transmittal.
* Develop databases and data queries to prepare reports to support the student related administrative functions of the Dean’s office, e.g., academic standing, advanced placement data, CAPP and other compliances and scholarship requests.
* Support the workflow for GA offer letters, providing updates to the distribution list as needed.
Academic Support
* Provide technical support for undergraduate student academic records including Academic Standing, which includes data manipulation into the online database and system, facilitating the online meeting, all reporting and communication.
* Manage mid-term grades and Dean’s List processes in coordination with the Undergraduate Dean’s Office.
Minimum Qualifications
Formal Education
* Bachelor’s degree or equivalent related work experience.
Minimum Work Experience
* 2-3 years of professional/office experience required.
* Excellent communication, interpersonal, and technical skills required.
Preferred Qualifications
* Knowledge of databases, Microsoft Office suite, SunGard/ SCT Banner, Oracle PL/ SQL, RDB SQL, and Discoverer is a plus.
Physical Requirements and/or Unusual Work Hours
* Operational knowledge of basic office equipment.
* General office environment.
