Payroll & Administrative Assistant
We are looking for a highly organized and detail-oriented Payroll & Administrative Assistant to support payroll processing and general administrative duties. The ideal candidate will assist in ensuring the timely and accurate processing of payroll, maintaining employee records, and handling various administrative tasks to support the HR and management teams.
Key Responsibilities:
-Payroll Processing:
* Assist with the preparation and processing of employee payroll on a regular basis (weekly, bi-weekly, or monthly).
* Ensure the accurate calculation of salaries, overtime, bonuses, commissions, and deductions.
* Maintain payroll records, ensuring data accuracy and confidentiality.
* Prepare and submit payroll-related reports for management review.
* Respond to employee queries related to payroll, benefits, and general administrative concerns.
* Provide assistance with reviewing payslips, addressing payroll discrepancies, and other related issues.
* Ensure payroll complies with local labor laws and tax regulations.
-Employee Records Management:
* Maintain and update employee files and payroll information in the HR database.
* Ensure all employee status changes (new hires, terminations, promotions, etc.) are recorded accurately and in a timely manner.
* Support the administration of employee benefits and deductions.
-Administrative Support:
* Knowledge of accounting and reporting for the preparation of administrative documentation, as needed.
* Prepare documents, reports, and presentations, as needed.
* Organize and maintain HR and payroll files in compliance with company policies and legal requirements.
* Ensure proper filing and secure handling of sensitive information.
* Collaborate with the EU Project Team and manage the administrative aspect and the operational phase of the European projects in which the company is involved, particularly:
-perform periodic reporting of research projects
-assist the project manager, ensuring that all necessary documentation is submitted on time and complies with EU and national standards
-supervise the monitoring and evaluation process of the project activities and results, (particularly maintaining and managing contacts with the Ministries to stay updated on the funding status).
Qualifications:
* High school diploma or equivalent required; additional qualifications in accounting or business administration are an advantage .
* Prior experience in payroll, administrative support, or a similar role.
* Knowledge of payroll systems.
* Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
* Strong attention to detail, accuracy, and organizational skills.
* Excellent communication skills, both written and verbal.
* Basic knowledge of the English language.
* Ability to maintain confidentiality and handle sensitive information with discretion.
