An Italian leading company in the ICT Consulting sector is looking for an Executive Assistant to the CFO to enhance support and provide top-level assistance.
The ideal candidate has at least 5 years of relevant professional experience as an Executive Assistant and is able to play a strategic role in delivering specialized assistance directly to the Board Members of the Company.
He/She will collaborate to guarantee the seamless execution of daily operations, and his/her activities will be crucial for the entire team, making a substantial contribution to the overall company’s productivity and success.
The Role
As an Executive Assistant, the daily duties will include:
1. Manage Complex Agenda: update executive calendars, schedule meetings, teleconferences, and videoconferences across global time zones & geographies;
2. Willing to Travel Frequently: join the Board Members during official Company travels, ensuring availability and flexibility in planning;
3. Arrange International Business Travels: book and manage trips, including itineraries, agendas, flights, passports, trains, hotels, and car rentals;
4. Act as the primary point of contact for internal and external stakeholders, ensuring timely and professional communication;
5. Handle confidential and sensitive information with the utmost discretion;
6. Manage Phone Calls: filter requests, distribute correspondence on various projects and tasks;
7. Assist in the planning and coordination of corporate events, conferences, and meetings;
8. Editing of Reports and key presentations;
9. Open, sort, and distribute incoming correspondence and organize deliveries.

Key Requirements
1. Proficient in Business English;
2. Good knowledge of Portuguese;
3. Flexibility to travel abroad as needed;
4. Ideally have completed secretarial studies/have a University Degree in business administration, communication and administration, or similar;
5. Very good Microsoft Office Suite skills (Excel, PowerPoint, Word) and other relevant software applications;
6. Strong organizational skills and ability to prioritize and coordinate multiple tasks.
