Youman, boutique search firm, is supporting a major Italian manufacturing Corporate (+5000 employees), leader in its industry, in the search of a:Administration and Payroll Manager Location: Padua areaMISSIONThe Administration and Payroll Manager will oversee a team of six professionals, driving payroll processes and providing administrative support for the Italian companies within the Group. The role will manage employment contracts (hiring, renewals, terminations, mobility), attendance, payroll, and ensure compliance with labor laws and regulations. The manager will ensure the end-to-end accuracy of these processes, assist employees and HR teams, and liaise with external providers for HR Payroll System updates. Additionally, the role will maintain personnel data and archives, ensuring compliance with company policies and applicable laws. KEY ACCOUNTABILITIESHR Administration Management:Lead end-to-end human resources administration, including contract management, hiring, terminations, mobility, and other HR matters, collaborating with HR Business Partners (HRBP) and Plant HR.Maintain accurate and up-to-date employee records (physical and digital), and prepare HR documents in line with company policies and legal requirements.Facilitate the onboarding, contract renewals, terminations, and mobility processes, ensuring that employees understand administrative aspects (contracts, insurance, code of ethics, welfare, pension plans, etc.).Implement pay increases and contractual grading per laws or trade union agreements, ensuring accurate system updates.Manage labor disputes and disciplinary proceedings, staying informed of current labor legislation to ensure correct application to company processes.Conduct background checks and maintain personnel files, census reports, and other related forms.Provide ongoing support to employees regarding administrative matters and resolve concerns.Oversee welfare programs, ensuring they align with legal changes and collective agreements.Payroll Management:Collect timesheet and payroll data from the HR team, line managers, and systems, and calculate gross and net pay, including attendance, salary, overtime, commissions, bonuses, benefits, and tax withholdings.Maintain payroll-specific records (wage changes, insurance, deductions, new hires, terminations, leaves of absence) and process paychecks and deposits.Ensure payroll and attendance records are accurate, performing periodic audits, monthly reconciliations, and preparing tax returns.Ensure compliance with labor laws and company policies when processing payslips and communicating with social institutions and employment centers.Support employees with payroll inquiries and resolve issues efficiently. Reporting:Provide the HR Controlling team with accurate, up-to-date employee metrics for monitoring HR statistics, identifying trends, and implementing mitigation actions as needed. Management of Expats:Oversee contracts, fiscal matters, and tax compliance for expatriate employees, ensuring all requirements are met.Guidelines Procedures Execution:Implement HR guidelines and procedures to ensure compliance with labor laws, company policies, and standards.Supplier Management:Coordinate with external suppliers, such as labor consultants and technical providers, to ensure delivery of required standards and compliance with legal obligations. People Management:Lead and develop the assigned team, ensuring effective execution of activities and fostering employee engagement.SOX Compliance:Ensure the accurate and up-to-date mapping of relevant processes and controls for the Internal Control System (SOX Compliance).Review and formalize controls, ensuring the timely execution of actions based on the Risk and Control Matrix (RCM).Address any identified process issues and implement corrective actions within the specified deadlines. SKILLS AND QUALIFICATIONS:Education: Master’s degree or equivalent qualificationExperience: at least 10 years in a similar role, within a multinational company.Expertise in data analysis, performance metrics, and relevant tools and applicationsBudget management and cost control knowledgeUnderstanding of applicable labor laws and regulationsLeadership AccountabilityProficient in Excel and PowerPointFluent in English
