About the Business
Our Destination Management services form the core of our business. Together with our destination experts, our sales and account management teams generate business by partnering with our customers (Tour Operators, Travel Agencies) to shape exciting itineraries suited to their travelers’ needs. We take care of everything from ground support, hotel bookings, sightseeing, restaurants, and local guides; all while providing 24/7 customer support so that travelers from over 50 countries can enjoy memorable travel experiences worry-free.
About the Role
We are currently looking for a Senior Operations Coordinator to oversee the end-to-end management of Ad hoc and MICE travel experiences.
You will be responsible for securing competitive supplier rates and managing advance bookings across all tour components, including transportation, guides, restaurants, entrances, and special visits. With a strong focus on accuracy and attention to detail, you will ensure flawless execution and client satisfaction throughout the tour lifecycle.
Working closely with Sales, Procurement, and Destination Management teams, you will contribute to the development of innovative destination content while delivering high-quality, customized services.
Key Activities
1. Manage total tour operations, including itinerary checks, service booking and confirmation, and budget control.
2. Ensure itineraries are feasible in terms of timing and routing, verifying service codes, suppliers, and conditions.
3. Select appropriate suppliers, balancing quality and price to maximize margins.
4. Accurately book and confirm destination services, ensuring timely execution.
5. Provide constructive suggestions and proposals to the Sales team for itinerary improvements and optimizations.
6. Conduct on-site inspections and Meet and Greet visitors if requested.
7. Handle last-minute requests and amendments, with a problem-solving approach to guarantee customer satisfaction.
8. Develop and execute tailor-made itineraries, ensuring personalized and high-quality travel experiences.
9. If requested by Manager, provide mentorship to junior team members.
10. If requested by Manager, manage any relevant task/project related to the operational business.
Role Requirements
1. Previous experience in Travel Industry
2. Strong knowledge of Japanese culture and expectations
3. Excellent written and verbal English, Italian and Japanese skills
4. Good knowledge of Microsoft Office suite
5. Good business reporting / statistic producing skills
6. Proven ability to remain flexible and open to change, effectively managing shifting schedules and unforeseen challenges with a problem-solving mindset and a strong sense of adaptability
