General Service Positions
The functions in the General Service category include administrative, secretarial, and clerical support which contribute to the smooth and efficient running of the work units. Short-term appointments are designed to facilitate the discharge of administrative support functions of a temporary nature.
Minimum Requirements
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING:
1. Education: Secondary School Education.
2. Experience: A minimum of one year of relevant experience in related positions.
3. Languages: Full proficiency / Working knowledge (Level C) of English.
4. IT Skills: Knowledge of the MS Office applications, internet and office technology equipment. Proficiency in corporate electronic databases and systems would be an asset.
Core Competencies
Knowledge of corporate computerized Financial / Travel / Human resources systems. Intermediate proficiency (level B) of one of the other FAO languages (Arabic, Chinese, French, Russian or Spanish).
Main Responsibilities and Tasks for the General Service Positions
The key functions/results include:
1. Sort, register and route correspondence; type and format routine documentation, tables, reports, etc.;
2. Receive, screen and direct telephone calls and visitors; respond to routine internal and external enquiries and/or refer to appropriate contacts/units;
3. Enter, retrieve, structure and update selected information and data from easily accessible sources;
4. Set up and maintain office files and reference systems according to standard procedures;
5. Initiate, view and track a variety of administrative transactions in the computerized financial / travel / human resources systems;
6. Prepare standard statistical reports, tables and diagrams;
7. Support the organization and administration of meetings, workshops and events;
8. Ensure availability of office supplies and appropriate maintenance of office equipment;
9. Prepare draft cost estimates and budget proposals and participate in budget analysis and projections;
10. Assist with the familiarization of security procedures and ensure safety in case of fire or emergencies.
Assessment
Evaluation of qualified applicants may include an assessment exercise and a technical / competency-based interview.
