Job Description
The Business Controller assists hotel management in achieving its financial objectives. This includes the supervision and control of all financial aspects of the hotel. Providing input, guidance and support to all department heads within the hotel to ensure that all of the key hotel financial KPI’s are delivered.
This position is responsible for consistently delivering results that contribute to the mission and overall success of the hotel by accomplishing performance objectives focused on business revenues, guest and associate satisfaction, and operational effectiveness and efficiencies.
Key Responsibilities:
* Support the delivery of the hotel’s financial objectives
* Accuracy on monthly close reporting
* Monthly performance review with focus on hotel (budget) KPI’s
* Forecast review, with constant improvement with focus on future analysis (forecast) and review of progress of key action plans per department (revenue/cost)
* Solid Budget construction.
* Drive the operational efficiencies through effective data analysis
* Measure and report on compliance with standards with actionable insight
* Champion initiatives to drive improvement in hotel key performance indicators impacting financial performance
* Ensure all department heads have sufficient working financial knowledge for their roles
Job Specifications:
Helping the hotel team to ensure all potential business impacts with especial focus on financial results are under control and in line with business plans. Main roles would be:
In order to achieve those main goals following tasks will be under hotel controller scope:
* Payroll: Total Payroll and FTES per CECO/Outlet reconciliation (Closing + EFT + Budget).
o Review staff schedule/allocation (Check possible mistakes in the documents; formulas, inputs…).
o Calculate the FTE’s per area/outlet according to the schedule checked.
o Check the FTE’s figures in schedule vs FTE’s figures in payroll software (HH.RR).
o Staff holidays and overtime status/templates.
o Review/Check outsourcing reconciliation with Housekeeping Manager, Front Office Manager, F&B Managers, and check PO’s.
o Extra payroll/bonus provision status and difference with closing, EFT and Budget.
o IC payroll reconciliation check/review and difference with closing, EFT and Budget.
o Total Payroll reconciliation with P&L and difference analysis vs. EFT and Budget.
* Inventory: How the inventory and Purchase Cost processes are managed, as well as the information that is distributed to each person responsible.
o Category tree materials check and used materials in PO’s.
o Follow PO’s and GR’s status (including warehouses amounts), during month and critical previous inventory.
o Inventory auditing during inventory process.
o Focus on large events that may affect food cost (estimations).
o Before posting, check per warehouse the inventory status and main differences (positive and negative differences).
o After posting, check that inventory has been fine uploaded in P&L.
o Analysis and check costs with managers and GM.
o Providing Flash Food costs reports at least twice per week
o Providing monthly menu engineering and beverage potential reports
* Other Expenses closely follow up:
o Energy cost control
o Expenses for Reinvoicement and check with Revenue.
o Repairs, maintenance
o Room and restaurant supplies
o Variable and fixed rent. (Knowing the lease contract in detail)
o Rents income right applied.
o Control fees with externals/partners and P&L.
o Identify and report central costs (I.e., Marketing, IT, Bank expenses, etc.) with GM and regional controlling.
* FO Audit: Review FO tasks for monitoring, reconciliation, production and collections - incidents and reservations, deposits, advances (monthly basis).
o Guest Ledger. Checking with FO all the pending payments and doing follow up with events and reservation teams. Focus on large events.
o Credit C status follow up.
o Review prepayments sent, answer cases, resolve incidences of Credit Cards & prepayments.
o Check F&B and FO tills before money is sent to the bank. Notify incidences. Check cash status.
o Commissions. Onyx status and follow up answers according deadlines.
o Cancellation fees and no shows status with FO Manager.
* Internal control and procedures: Set-up/maintain the local administrative organization and internal control, in line with the corporate policies and procedures. Support the hotel management team with incorporating Minor Europe policies and procedures.
* Other main responsibilities:
* Lead Hotel Performance Review meetings.
* Assist in investment decisions: Business cases for the property.
* Attend weekly commercial strategy meetings and ensure that all hotel revenue streams are covered with clear actions to focus on total hotel revenue
* Ensure that hotel achieves minimum benchmarks for Goldeneye and develops and implements plans as needed to ensure this
Business Controller Do’s
* Take initiative to ensure financial awareness is the daily conversation in every department
* Share financial updates on a regular basis with HOD’s
* Share actionable insights (information not readily available to everyone by a few clicks)
OE Manager Don’t
* Be the person responding to all guest feedback, create a team and oversee that it is completed in a timely manner
Qualifications
Required Knowledge, Skills & Abilities:
* Sound working knowledge of the following systems: SAP & Oracle, BI and Microsoft Excel (advanced level).
* Knowledge of automated financial and accounting reporting systems. Ability to analyze financial data and prepare financial reports, statements and projections. Working knowledge of short- and long-term budgeting and forecasting.
* Professional written and verbal communication and interpersonal skills. Ability to produce quality materials within tight timeframes and simultaneously manage several projects. Ability to participate in and facilitate group meetings.
* Analytic perspective, hospitality business approach with the ability to distinguish between “relevant” information and “complementary” information.
* Other desired interpersonal skills: Empowerment, Trust, teamwork.
* Participate in Controlling project team on specific issues when needed.

Education & Experience:
* Graduate Degree
* Six sigma certified, green belt or black belt would be beneficial
* Minimum two years’ experience in Hotel financial leadership role within the hospitality sector
