Overview
Receptionist & local administrative role reporting to Cluster HR Director.
Responsibilities
* Manage Reception activities (phone calls, post, delivery courier, etc.)
* Organize meeting rooms and requirements for internal and external meetings and all associated tasks (such as meeting room set-up, refreshments, ordering food, coordination of taxis/transfers, etc.)
* Photocopy and scan documents as necessary and maintain appropriate document filing retention.
* Provide affiliate office support (including related Po Management) by liaising and managing office and HR suppliers, maintenance, security, etc. Interact proactively as point of contact for office suppliers.
* Manage administrative activities of new employees/terminations excluding employment contracts; maintain an up-to-date, accessible, and accurate human resources archive.
* Coordinate the welfare plan and benefits with insurance companies and benefit providers.
* Support HR Director in managing essential health and safety requirements for employees and in managing internship agreements with universities/business schools.
* Assist HR Director in collecting monthly variations to be included in pay slips including: Meal Voucher; Flex Points Report; Collection of expense report files and auto fringe files.
Qualifications
Proactive with strong attention to detail and able to work autonomously in a fast-paced environment.
* Flexibility and the ability to prioritize.
* Knowledge of Microsoft Office.
* Good English language skills preferred.
