The Payroll Manager will be responsible for the complete management of the payroll cycle and administrative, fiscal, and contributory obligations of the hotel staff. The role will ensure compliance with current labor and social security regulations, guaranteeing correct processing of salaries and obligations towards social security and tax authorities.
Engages in ongoing auditing activities to verify the accuracy of payroll records and information. When needed, provides information to other departments regarding payroll-related issues and questions. The position reports to the Director of Finance and the Director of Human Resources.
CANDIDATE PROFILE
Education and Experience
1. Diploma/Degree in Economics, Law, or related fields (preferred).
2. Master's or specialization courses in personnel administration (plus).
3. At least 5 years of experience in the role, preferably in the hospitality or tourism sector.
4. In-depth knowledge of the Tourism CCNL.
Technical Skills:
5. Knowledge of payroll management software ADP
6. Excellent command of Italian fiscal, social security, and labor regulations.
7. Familiarity with main HR reporting tools.

Payroll and Contributions Processing
8. Manages the payroll process, including the collection and verification of attendance, overtime, holidays, leave, and sick days.
9. Oversees pay slips, severance pay calculations, and settlements.
10. Oversees the application of fiscal and contributory regulations (INPS, INAIL, Agenzia delle entrate).
11. Oversees the correct calculation of taxes and social security contributions.
12. Oversees the transmission of the UniEmens and F24 for the payment of contributions.
Administrative and Fiscal Obligations
13. Oversees the issue of the CU (Certificazione Unica) and 770 forms.
14. Manages obligations related to employment contracts (hiring, extensions, terminations).
15. Supervises the application of the Tourism CCNL (Confindustria) and any company integrations.
16. Manages relationships with external entities (INPS, INAIL, Agenzia delle Entrate, Labor Inspectorate).
17. Monitors regulatory deadlines and any legislative updates.
Personnel Management
18. Manages the administrative management of staff, disciplinary e litigation.
19. Manages mandatory communications regarding hiring, changes and terminations of employment contracts.
20. Maintains the employee records and updates the database with new hires, departures, and changes
21. Provides internal consultancy on salary, contributory and fiscal issues.
22. Coordinates with labor consultants and legal offices for contractual and litigation matters.
Reporting and Control
23. Prepares monthly and annual reports related to labor costs.
24. Supports the Management in planning the personnel budget.
25. Analyzes cost deviations and optimize financial resources.
In addition, he/she:
26. Maintains knowledge of computer system and manual procedures used for payroll functions.
27. Maintains knowledge of correct maintenance and use of equipment used for payroll functions.
28. Reviews all .'s for complete information and ensure accuracy of figures; resolves discrepancies with Human Resources. Inputs information using appropriate codes with total hours to be paid.
29. Maintains vacation accrual and sick pay records and authorize requests when applicable and approved by Human Resources.
30. Calculates tip allocations for all tipped employees.
31. Check and process employees’ expenses.
32. Backs up transaction files and transmits by the time and date according to Finance procedures.
33. Copies/prints reports as directed and distribute to Human Resources, Assistant Director of Finance and Director of Finance.
34. Completes month-end payroll functions.
35. Provides direction and assistance to other organizational units regarding accounting, payroll policies and procedures and efficient control and utilization of financial resources.
36. Supports and development, mentoring and training of associates.
37. Provides constructive coaching and counseling to associates.
38. Trains people on payroll and labor systems.
